Using WebEx Productivity Tools in Outlook
Meet Now Function
The Meet Now function in Outlook allows you to start a WebEx meeting directly from Outlook. To begin a meeting, simply click on the Meet Now icon.
Doing so will take you directly to your meeting room.
Schedule Meeting Function
To schedule a WebEx meeting with Productivity Tools, first click on Schedule Meeting. The drop down menu will give you additional options, but you do not need to select any of these to create a meeting).
Next, click on Add Personal Room. (The drop down menu will give you additional options, but you do not need to select any of these to create a meeting if you wish to use your personal WebEx room).
Once you have selected Add Personal Room, the subject line will automatically populate with the name of your personal room, and your WebEx meeting information will be encoded in to the body of the email invitation.
IMPORTANT: Do not delete or change the text that is automatically populated in the body of the email. This information is required for your personal meeting room information to remain part of the invitation.
The invite recipient(s) will receive your WebEx personal room meeting information in the invitation as shown below.
